The phone order that types itself: voicemail to QuickBooks Estimate

Every distributor has the customer who won't use the portal, won't email a PO, and just calls. The order lands as a voicemail, gets scribbled on a sticky note, and keyed into QuickBooks an hour later — twice removed from the source, with a transposed quantity waiting to happen. SideQuest closes that gap, and it does it without the recording ever leaving your computer.

On-device first: the recording stays with you

A voicemail is a customer's voice, their account, sometimes their pricing. Most "voicemail to text" tools ship that audio straight to a cloud speech API. SideQuest doesn't. Transcription runs on your own machine by default with a local Whisper model — the audio and its transcript never touch our servers or any third party. It's the same promise as the rest of the connector: your data stays on your machine. A cloud option exists if you want it, but it's off unless you explicitly turn it on.

How it flows

Most VoIP and phone systems email the voicemail as an audio attachment — the same inbox SideQuest already watches for emailed POs. It transcribes the recording locally, pulls the spoken order into structured line items, and runs them through the exact matcher and cross-references every other order uses. The result is a local draft Estimate. You review the lines and submit; nothing reaches QuickBooks until you approve. Same human-review gate, new input channel.

What it looks like on each counter

Why the phone channel matters

Portals catch the customers who adopt them. Email parsers catch the ones who send PDFs. The phone order slips past both, and it's often your highest-trust, longest-tenured accounts — the ones who've called the same counter for fifteen years. Automating it means their orders stop depending on whoever happened to pick up, and the transcription-by-hand step that quietly drops a line disappears. FAQ

Does the recording get uploaded?

No — transcribed on-device by default with a local Whisper model. Cloud is opt-in and off unless you enable it.

How does the voicemail reach SideQuest?

Your phone system emails it as an audio attachment; SideQuest reads it from the same inbox it already watches.

Does it skip review?

Never. A voicemail order becomes a local draft Estimate; you review and submit like any emailed PO.
